Privacy Policy – Your Personal Information

This privacy policy explains how the Directorate of Conscription (DSL), the General Staff of the National Guard (GNG), and the Ministry of Defence (MoD) collect and process your personal information in the context of fulfilling your military obligation and your submission of conscription details through the related digital service.

What information we collect about you

From CY Login:

  • Full name
  • Email address
  • ID card number

During the application process:

  • Date and place of birth
  • Home address
  • Contact information
  • Educational information
  • Medical information

Why we use your personal data

Your personal data is collected and processed for the following purposes:

  • To verify your access rights to the service
  • To complete and submit the Declaration of Conscription Details
  • To generate relevant enlistment documents
  • To keep you informed about the progress of your declaration
  • To archive and track information of military relevance

Without access to the above data, your application cannot be processed.

Where your personal data is stored

  • Electronically: Stored in databases and servers located in Cyprus, accessed only by authorized personnel through password-protected computers and secure firewalls.
  • In printed form: Maintained in official folders by the GNG and National Guard Units.

Personnel from the MoD/CYMS are authorized to transfer data without visibility access. The GNG has full access and processing rights as part of its official duties.

How long we keep your data

Printed data is deleted after your discharge from the National Guard.

Data in the system is retained indefinitely

Who your data is shared with

Your data will not be shared with third parties without your explicit consent, unless required by law or necessary in accordance with Articles 6 and 9 of the General Data Protection Regulation (GDPR).

Your rights

  • Receive a copy of your data
  • Correct or update your personal details
  • Restrict or object to the processing of your data
  • Request deletion or transfer of your data
  • Withdraw your consent (where applicable)

Complaints

You can submit a complaint about how your data has been used by contacting the Office of the Commissioner for Personal Data Protection.
